Production Executive

This role will work with the Director, Production APAC, Manager of Production and DTG Theatrical team, including Company Management based at the theatre, to deliver successful productions, by executing and managing all production requirements as necessary. 

Key Responsibilities:

Contracting and Legal Compliance

  • Assist with drafting employment contracts for cast, touring crew and musicians.
  • Assist with casual crew contracting both for the pre-production and operating period of the production.
  • Assist the Director, Production APAC, HR Business Partner and Legal Corporate to negotiate the updating of union agreements, company policies and procedures and ensure that employment contracts are current and updated accordingly.
  • Maintain knowledge of relevant certified agreements and employment conditions including but not limited to National Employment standards, Live Performance Award and Performer’s Collective Agreement.
  • Manage contract-related processes, including upload to DocuSign and accuracy of legal and document trackers.
  • Ensure timely filing and execution of contracts

Onboarding and Staffing support

  • Assist with the employee onboarding process for Creative and Production personnel across all self-produced productions, including all contract creation, hiring, payroll and expense processing
  • Assist the Manager of Production to ensure all regulations are met for the safe employment of children in productions, and that all required reporting is undertaken in a timely manner.
  • Manage all operational aspects of auditions sourcing staff (readers, stage management, pianists), venue bookings, liaising with agents and talent, scheduling of, set up and administrate audition days.

Vendor Management

  • Vendor relationship management and payment processing. This includes the ability to establish new relationships and guide vendors through complicated processes to ensure their business meets The Walt Disney Company’s policies.
  • Assist in the negotiation of contracts for vendors such as audition venues, accommodation providers, rehearsal rooms, event teams.

Travel Management

  • Manage the travel arrangements for transfer crew, local production team and any international team members.
  • Manage all immigration requirements, for production and creative staff.

Production Scheduling

  • Assist with the scheduling and time-line requirements for productions including long view production strategy
  • As required, manage the updating of schedules including overview planning, departmental and Production/transfer schedules.
  • As required, Manage meeting scheduling, agendas and circulation of minutes.

Marketing, PR and CSR Support

  • As requested, conduct market and budget research with regards to future seasons and cities of the productions.
  • Assist on external events and functions, including opening night parties, red carpet events, and invitation and gift lists.
  • Provide support on CSR, PR and Marketing related activity.
  • Oversee the booking of House seats if required.
  • Assist the Manager of Production to manage the editing, proofing & approving of DTP programs.

Budget and Financial Management

  • Manage the updating of the EFC and report internally and to DTG in NY.
  • Provide coding and ensure accurate and timely raising of Purchase Orders, GR’s and invoices for payment.
  • Assist the Director, Production APAC with the creation of production, transfer and operating budgets.
  • Assist the Manager of Production in budget tracking for productions and to ensure that overspend or additional/unbudgeted costs are flagged to Director, Production APAC and Manager of Finance.
  • Assist in the approval of purchasing requirements for the set-up and on-going running of productions.
  • Co-ordinate and oversee all financial systems, including vendor set-up, tracking receipt and payment of invoices and credit card reconciliation.
  • Provide relevant support with the following tasks as needed:
  • Processing of Purchasing Card (P-Card) receipts
  • Processing of CMC Amex Travel Card receipts
  • Management of physical and electronic filing systems
  • Management of local, inter-state and overseas travel for DTG team.
  • DSMP administration- including vendor set-up process.

Other

  • Support the Company Management team during transfer and other peak periods.
  • Other projects as assigned.
  • Provide flexibility in work hours in peak periods and accessibility from time-to-time outside work hours.
  • Some interstate travel and weekend work required.

Ideal experience:

  • Knowledge of creative process in live theatre and proven ability to manage personnel.
  • Minimum of three years’ experience in the theatre industry with at least two years at Production Executive level.
  • Excellent time management and organisation skills to ensure all priorities and multiple deadlines are met
  • Ability to prioritise and multi-task in a hectic work environment with competing demands
  • Effective and discrete communicator, able to manage confidential information
  • Pro-active, a self-starter who is able to work without daily supervision
  • Strong Office skills including Excel, Word and PowerPoint
  • High attention to detail and accuracy
  • Logical and lateral thinker
  • A strong team player who contributes to an environment that embraces innovation
  • Strong communication skills including written, verbal and interpersonal
  • Integrity and maintains a professional code of conduct
  • Honest and straightforward when working with others
